Adding and importing members

Making it easy for students to join your student union is key, and Rubric provides multiple options to streamline the process.


Before adding or importing members, make sure you have created your membership types .


Issuing memberships online

Students can join your membership through your Link-in-bio, which automatically displays events, merchandise, and memberships you publish. This simplifies the sign-up process. If your membership is paid, students can conveniently pay online using their credit or debit cards.


Issuing cash or in-person memberships

For in-person membership sales:

  1. Navigate to the Memberships section and select Sell cash memberships from the left menu.
  2. Record membership sales. If sales are paid, you can record whether sales are made by cash, EFTPOS, or Rubric’s payment system, which sends a sign-up link directly to the student’s device. This link remains valid for 24 hours.


Adding single members

You can also add individual members manually by following the same steps as mentioned above.


Importing an existing membership list

If you’re transitioning from another system or have an existing membership list, use our Import Memberships feature from the left menu to transfer member data.

  1. Choose a membership type: Your members will be segmented under the membership type you’ve created.
  2. Upload your member list: Download the CSV template by clicking the Download Template button. Fill in all member details in the downloaded template. Using the template helps minimize errors when importing voters in bulk.
  3. Importing the member list: Once your CSV file is ready, upload it by following the on-screen instructions. Click the Continue to Matching button to proceed.
  4. Reviewing the members list: Review the list of members you’re about to import. Any duplicate email addresses will be automatically removed during the import process.
  5. Finalizing the import: After reviewing, click the Review Import button to complete the import process.
